Romain, a sports coach working with clients both in-person and remotely, was spending over an hour per client managing his administrative system manually. With a structured Notion workspace paired with n8n automations connected to Cal.com and Gmail, he reduced that to a single click.

CONTEXT

Over 1 hour per client lost to administration.

Romain coaches his clients across three formats: in-home sessions, hybrid remote coaching, and group training at a local club. Like any independent sports coach, Romain was time-constrained and needed to optimize his organization to maximize revenue.

Fragmented system: a complex Excel spreadsheet, an isolated Tally form, and a separate website booking tool. Each new client required over an hour of administrative work: manually entering information, creating questionnaires, and syncing between disparate tools.

Direct consequences: information loss, risk of missing commercial opportunities, and stress from manual management. The system was not running autonomously and monopolized valuable time that could have been spent on client coaching.

After a complete analysis of Romain's workflow, we developed a structured multi-phase approach. We first identified the critical information flows for the sports coaching business.

This analysis allowed us to design an optimal data architecture in Notion with interconnected modules tailored to client follow-up. We then established priority automations to eliminate repetitive tasks.

Centralized Notion workspace

Workspace including a client database with personalized information and session history, a questionnaire database linked to each client for personalized tracking, and an operational dashboard with filtered views.

Cal.com synchronization

As soon as a new prospect books on Cal.com, their information is automatically exported to Notion. No more manual entry of client contact details.

Automatic document sending

Once a discovery session is complete, with a single click, the documents and links matching the client's chosen package are sent by email via Gmail.

Tally synchronization

As soon as a client responds to the Tally questionnaire, the answers are automatically integrated into Notion and the questionnaire is linked to the corresponding client.
