All Creators helps entrepreneurs build their personal brand on Instagram and TikTok. With rapid growth and around 400 inbound leads over two months, the agency needed a system that could keep pace. We restructured their Notion workspace into a full CRM and connected Tally, Calendly, and n8n to automate the entire client journey, from lead capture to payment tracking.

CONTEXT

A messy Notion CRM, leads slipping through the cracks.

All Creators helps clients grow their personal brand on Instagram and TikTok. The company offers coaching programs to help entrepreneurs launch their business and build their organic presence on social media.

The system was built on Notion but completely messy and disorganized. Best practices weren't applied, making it complex and inefficient to use.

With no automation in place, everything was handled manually. The Tally form wasn't connected to the system, and there was no client pipeline to track prospect progress. The result: lost leads, no clear visibility on coaching status or finances, and significant time consumed by admin work.

APPROACH

Centralize, structure, automate.

The existing Notion had unlinked databases with no structured pipeline. The Tally form collected leads without injecting them into the system. With around 400 inbound leads over two months, every gap in the process meant lost prospects.

We mapped the entire client journey, from the first form submission to payment tracking. Every manual step identified was replaced by an n8n automation connecting Tally, Calendly, and Notion in a continuous flow.

The goal: a single workspace where every piece of information is in its place, every lead is tracked, and the team only needs to focus on coaching their clients.

Tally form synced with the Notion CRM via n8n. Leads are automatically captured, qualified, and routed to the right journey based on their profile.

Payments updated automatically, real-time performance trackers (closing rate, appointments, no-shows), and emails triggered based on prospect status.
